Westover School seeks a full-time, 12-month Auxiliary, Summer Programs, and Outreach Coordinator, Dorm Faculty, and Coach. This position will report to the Chief Financial and Operations Officer and work directly with the Director of Enrollment Management and Associate Head of School, playing a vital role in the school community by implementing auxiliary, summer programs, and admissions outreach.

Role Description:

The Auxiliary, Summer Programs, and Outreach Coordinator, Dorm Faculty, and Coach will work across the school and within its various constituencies to further develop and oversee mission-appropriate use of Westover’s campus assets during the school year and summer months, including programming that directly supports admissions outreach and objectives. The responsibilities include daily operations of all auxiliary, summer programming, and admissions outreach which occurs within or beyond the typical school day.

Working directly with nearly all Westover departments (enrollment, business office and human resources, plant facilities and campus safety, dining services, academic and campus life, athletics, arts, Rasin Center, WISE, health services, student activities, communications, information technology, and advancement), the Auxiliary, Summer Programs, and Outreach Coordinator, Dorm Faculty, and Coach will help to develop, market, host, and manage all aspects of a robust array of auxiliary programs, camps, rentals, and admissions outreach. Collaborating and coordinating across the school along with outside organizations, renters, vendors, and consultants, the Coordinator will lead the design of new and existing Westover auxiliary programs and processes that will promote Westover’s mission, values-distinctive programs, and brand.

This person will be responsible for living in the dorm during the academic year on an emergency dorm support basis and assist in coaching responsibilities when and if needed. 

Auxiliary Programs

  • Provide the necessary logistical support and guidance for auxiliary program activities throughout the school year and summer, including the management of registration, attendance, scheduling, communications, and facility use and rental.

  • Work with various departments of the school to coordinate and/or implement program, space, technical, health, maintenance, and permit/licensing needs.

  • Facilitate rental of campus facilities for weddings and services, celebrations, conferences, performances, and meetings.

  • Seek out rental relationships with a range of outside athletic and artistic camps and organizations. 

Summer Programs

  • Develop, schedule, and oversee the school’s summer programs operation.

  • Work with various departments of the school to develop and implement a new vision for Westover Summer Programs that includes both internal and external program use of the campus, building a model that supports admissions objectives and revenue for the school.

  • Develop Westover’s summer program offerings, webpage, and associated marketing materials, promoting an innovative program that is flexible and adaptable.

Admissions Outreach

  • Collaborate with the Director of Enrollment Management to develop and implement virtual and in-person admissions outreach programming to attract, enroll, and support students and families.

  • Coordinate and lead outreach programming as part of the Westover Institute, including Saturday morning short form courses that last for four weeks for Middle School age students in arts, athletics, and academics.

Dorm Emergency Support and Assist in Westover Athletics as a Coach

  • Serve on the residential life team in the dorm as an emergency dorm faculty member in our living space.

  • Serve as a coach in our Athletic offerings in the afternoons.

Required Skills:

Experience in working in schools or non-profits, supporting programming and outreach.

Ability to live on campus (housing is provided).

Strategic systems-thinker, forward-looking planner, and skillful executor of ideas.

Excellent project management skills, including attention to detail and ability to organize effectively.

Customer service orientation with ability to serve as an articulate spokesperson for the mission and values of Westover.

Demonstrated ability to work collaboratively and communicate effectively with students, faculty, staff, administrators, families, alums, consultants, clients, and vendors.

Basic financial skill set in order to manage budgets including expenses and revenue.

Database management, knowledge of systems such as Blackbaud K-12 or CampBrain.

Exceptional interpersonal skills with excellent oral and written communication skills.

Ability to multitask, be flexible, and work in a client-focused work environment.
