Job Summary:

The Operations Coordinator plays a central role in supporting the day-to-day functioning of Westover’s campus operations. Reporting to the Chief Finance and Operations Officer (CFOO), the Coordinator provides essential administrative and logistical support across key operational departments, including facilities, food service, housekeeping, transportation, security, the school store, and the mailroom.

The position requires strong organizational and communication skills and a service-oriented mindset. The Coordinator will also serve as a licensed school driver as needed to support student transportation needs.

Responsibilities and Duties:

Administrative Support to CFOO

  • Provide administrative and logistical support, including reporting, tracking, and documentation
  • Coordinate cross-department logistics for events and special projects
  • Manage calendars, meetings, and internal communications
  • Serve as liaison between Operations and other school departments

General Operations

  • Coordinate campus requests related to logistics, transportation, and deliveries
  • Assist with operational planning for major events such as student move-in/out and graduation
  • Maintain procedures and documentation for transportation and school store operations
  • Support emergency preparedness and risk management alongside the Director of Facilities and Executive Assistant to the Head of School

Transportation Coordination

  • Schedule and manage student transportation for airport runs, athletic events, and weekend activities
  • Oversee vehicle maintenance, fuel tracking, and repair scheduling
  • Coordinate part-time drivers and ensure compliance with school safety standards
  • Serve as an active driver as needed

School Store and Mailroom

  • Manage school store inventory, ordering, and vendor relationships
  • Oversee daily mail and package delivery for students, faculty, and staff
  • Supervise part-time or student workers supporting these areas

Required Qualifications and Skills:

  • Minimum of 2 years of experience in school operations, transportation coordination, or administrative support
  • Strong communication, organizational, and interpersonal skills
  • Valid Commercial Driver’s License (CDL) with Passenger (P) and School Bus (S) endorsements
  • Ability to manage multiple responsibilities in a dynamic, fast-paced environment
  • Proficiency in scheduling and communication tools (e.g., Google Workspace, Microsoft Office)

Working Conditions:

  • Work is primarily performed on campus, indoors and outdoors, in various operational settings
  • Requires occasional evening or weekend work to support events or transportation needs

Physical Requirements:

  • Ability to lift up to 25 lbs
  • Must be able to walk across campus, climb stairs, and occasionally drive school vehicles
  • May be required to work in inclement weather during transportation or outdoor event setup
