Position Summary:

The Advancement Services Manager is a key member of the Advancement team, responsible for overseeing all advancement systems and data processes, coordinating grant submissions, and supporting donor research and strategy. This role ensures the accuracy, integrity, and strategic use of constituent data to support the school's fundraising and engagement goals.

Key Responsibilities:

Data Management & Reporting (55%)

  • Serve as the lead administrator for the Raiser’s Edge/NXT database and other integrated systems (GiveCampus, Blackbaud, AlmaConnect, Graduway).
  • Create regular and custom reports, data visualizations, and performance metrics for leadership and volunteers.
  • Maintain data accuracy through routine audits, clean-up projects, and system enhancements.
  • Manage data projects such as moves management, salutation updates, soft credits, and Annual Report preparation.
  • Collaborate with the Business Office to ensure accurate gift entry, reconciliation, and audit reporting.
  • Support automation of recurring database tasks and troubleshoot technical issues across systems.

Grant & Foundation Support (20%)

  • Identify grant and foundation opportunities aligned with institutional priorities.
  • Coordinate all aspects of the grant application and reporting process.
  • Track application deadlines, submissions, awards, and reporting requirements.
  • Build knowledge of evolving trends in institutional fundraising and grant writing.

Prospect Research & Strategy (20%)

  • Conduct research to identify and profile prospective major donors.
  • Support frontline fundraisers with actionable insights and strategic recommendations.
  • Manage donor engagement tracking and reporting.
  • Maintain confidentiality and discretion in handling sensitive donor information.

Operational & Administrative Support (5%)

  • Provide training and technical support to Advancement staff on database queries, list generation, and reporting tools.
  • Supervise the Database Assistant.
  • Assist with team initiatives and Advancement events.

Qualifications and Competencies:

  • Bachelor’s degree in Information Science, Computer Science, or related field; or equivalent experience (1–3 years) in a data-driven development or advancement environment.
  • Proficiency with Raiser’s Edge/NXT and related platforms strongly preferred.
  • Advanced skills in Excel, query writing, and reporting.
  • Strong analytical and problem-solving skills; a systems-thinker with attention to detail.
  • Excellent organizational, writing, and communication skills.
  • Ability to handle confidential information with professionalism.
